Who we are
HiiRE Creative is a creative recruitment agency operating in the United Kingdom.
The data controller is Hiire Ltd, registered in England and Wales, company number [to be added], registered office 2 Bridgewater Court, Little Gaddesden, Hertfordshire, HP4 1PX.
If you have any question about your data, email info@hiirecreative.com.
Who this applies to
This policy covers everyone whose data we hold: candidates who register with us, people we approach directly about roles, and contacts at client companies.
We do not knowingly collect data from anyone under 18.
What we collect
If you are a candidate
Your name, email address, phone number and home address (line 1, line 2, town or city, county, postcode and country). Your CV. A portfolio or showreel link if you provide one. Your work history, skills and specialisms. What you are looking for: role type, day rate or salary expectation, availability, notice period. Right to work confirmation. Any notes we make from our conversations with you.
If we take references, we will hold the name, job title, company and contact details of the people you nominate, together with what they tell us.
If you are a client contact
Your name, job title, company, email address and phone number. Details of roles you are hiring for. Our correspondence with you.
If you use the website
Essential cookies that keep you signed in to the portal and keep it secure. We do not use analytics or tracking cookies, and we do not run advertising.
What we do not collect
We do not carry out background screening, credit checks or security vetting. We do not collect medical information, biometric data, or criminal record information. We do not ask for identity documents unless a specific client role requires proof of right to work, and we will tell you if that applies.
Where the data comes from
Usually from you directly, when you register or when we talk.
Sometimes from public professional sources such as LinkedIn or a portfolio site, where we are researching someone for a specific role. If we contact you on that basis, we will tell you where we found you.
And occasionally from a referee you have nominated, or a client giving feedback on an interview.
Why we hold it and on what legal basis
We hold candidate data to find you work, put you forward for roles, and stay in touch about opportunities. Our legal basis is legitimate interests: you registered with a recruitment agency, so being considered for work is what you came for. Where we need something extra, such as sharing your details with a specific client, we ask first.
We hold client contact data to provide recruitment services, on the basis of our contract with them or our legitimate interest in doing business together.
If you ask us to stop, we stop.
Where it is held
Within the UK and the European Economic Area. If any supplier processes data elsewhere, we make sure appropriate safeguards are in place.
How long we keep it
Candidate data: normally two to three years from our last contact with you. If we have not spoken in that time and there is no live opportunity, we delete it.
Client and contact data: for as long as we are working together, and for a reasonable period afterwards for our records.
Records relating to an actual placement: longer, because of tax and employment record requirements.
We also review and clear records we no longer need, so your data may be removed sooner than the periods above.
You can ask us to delete your data at any time and we will, unless we are legally required to keep something.
How we keep it safe
Data is stored in access-controlled systems. Files are held in private storage that cannot be reached without authorisation. Access is limited to those who need it, which today means one person. Passwords are encrypted, and administrative access uses additional authentication.
If something goes wrong and your data is at risk, we will tell you and the ICO as required.
Automated decisions
The platform scores how well a candidate matches a role, which helps us prioritise who to look at first.
No decision about you is made by a computer alone. Every shortlist is reviewed by a person, and that person is Steve Crompton. If you want to know why you were or were not put forward, ask.
Your rights
You can ask us to:
Show you what we hold about you. Correct anything wrong. Delete your data. Restrict what we do with it. Send you a copy in a portable format. Stop processing it, including stopping contact from us.
Email info@hiirecreative.com and we will respond within a month.
If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office at ico.org.uk.
Changes
If we change how we handle data, we will update this page and change the date at the top.
